Description:

As an Executive assistant, you will provide administrative support to Acclaro’s CEO and his direct reports, performing a variety of duties and specialized tasks. Your responsibilities may include preparing reports, conducting research, collecting data, creating internal and external presentations, managing schedules, booking travel, and supporting company initiatives.

Approximately 50% of your time will be dedicated to supporting the CEO, while the remaining 50% will focus on assisting the leadership team and other company initiatives.

Responsibilities:

  • Provide comprehensive administrative support to Acclaro’s CEO and leadership team
  • Gather requested data and information from various sources, including emails, meeting minutes, and documents; prepare summaries of findings and related correspondence as requested
  • Receive incoming communications and memos on behalf of senior staff, reviewing contents, assessing importance, and summarizing or distributing information to the appropriate personnel
  • Conduct research to assist with projects or inquiries
  • Maintain a strict level of confidentiality
  • Develop and maintain an alert system for upcoming deadlines, requests, projects, and events
  • Coordinate and schedule travel, meetings, and appointments
  • Prepare agendas and schedules for meetings, conferences, and other assigned events; take and distribute minutes or notes as requested
  • Respond to and resolve administrative inquiries and questions
  • Manage general emails, screening and transferring them as necessary
  • Perform other related duties as assigned

Requirements:

  • University Degree in related field or equivalent military or professional experience
  • 5+ years of executive-level administrative support
  • Exceptional verbal and written communication skills
  • Ability to work effectively in a remote environment across multiple time zones and countries
  • Excellent organizational skills and attention to detail
  • Proven time management skills with the ability to meet deadlines consistently
  • Highly proficient in Microsoft Office Suite, with the capacity to quickly learn new or updated software
  • Extensive knowledge of office administration, corporate procedures, and recordkeeping systems
  • Ability to work independently and reliably
  • Flexible and adaptable in various situations
  • Strong ability to organize and prioritize tasks, including the delegation of responsibilities when appropriate.
  • Familiarity with the roles and functions of the company and its departments is desirable or the ability to quickly acquire this knowledge

Desirable:

  • Experience directly supporting a CEO or President
  • Proficiency in data and research analysis
  • Experience managing large projects and/or in people management
