Position Description
The Office Administrator role is responsible for supporting day-to-day office operations and ensuring the smooth running of basic administrative and facility-related tasks. As an onsite position, it includes duties such as managing office supplies, coordinating maintenance or repairs, welcoming visitors, handling mail and deliveries, and assisting with general organizational needs around the office.
Location: Žilina, Slovakia (Onsite)
Reports to: Senior Manager, People Operations
Responsibilities
Finance Support & Coordination
- Assist with basic cash flow tracking and updates.
- Support invoice processing: collect approvals, code expenses, and prepare for external accounting handover.
- Maintain treasury and expense tracking files.
- Handle general filing, archiving, and document organization.
- Distribute relevant information across local teams and sub-entities as needed.
HR & Office Support
- Support recruitment logistics (e.g. posting job ads, CV sourcing, candidate communication).
- Manage general office inboxes and respond to staff queries.
- Welcome visitors and manage front-desk responsibilities.
- Coordinate office maintenance, supplies, and liaise with service providers.
- Manage general office queries, maintain inboxes, organize files, and support meeting setups.
- Support internal communications by sharing updates during team meetings or through internal channels.
- Assist in organizing company events, meetings, and office-related logistics.
- Help coordinate travel bookings and collect basic business trip documentation.
- OSH system management.
- Alarm system management.
- Provide day-to-day support to the local team and People Operations.
- Perform other administrative duties as assigned.
Requirements
- 1+ years of experience in administrative coordination and financial support roles
- Bachelor’s degree in related field, professional or military equivalent experience
- Full professional proficiency level in English
- Strong organizational, time management, and multitasking skills
- Ability to maintain confidentiality and manage sensitive company information
- Comfortable managing both strategic projects and repetitive tasks
- A proactive and solution-oriented mindset with excellent attention to detail
- Solid proficiency in Microsoft Office
Desirable
- Familiarity with payroll systems and financial reporting tools.
- Experience in recruitment activities and personnel management.
- Strong interpersonal and customer service skills.
- Knowledge of local labor laws and accounting compliance.
- Valid driving license (B)
